Tickets

Sell tickets to club events through your payment provider, including pricing, capacity, ticket form fields, buying and cancelling tickets, and managing orders as an admin.

Club events can sell tickets, charging members through your club's payment provider. Ticket sales are separate from RSVP: an event can use either, both, or neither.

Enabling ticket sales

Ticket sales are only available for Club Event visibility. When creating or editing an event, toggle Enable ticket sales in the Tickets card to reveal the settings.

Ticket price
The price per ticket. Leave blank or set to 0 for free tickets.

Capacity
The maximum number of tickets available for the event. For a recurring event, each occurrence has its own independent capacity. Leave blank for unlimited tickets.

Max tickets per order
The maximum number of tickets a single member can buy in one order. Leave blank for no limit.

Cancellation window (hours)
How many hours before the event a member can still cancel their ticket order. Leave blank to allow cancellation at any time.

Refund window (hours)
How many hours before the event a cancelled ticket order is automatically refunded. Leave blank to never automatically refund.

Ticket form fields
Custom questions collected once per ticket at purchase time, such as a meal choice or dietary requirement. Click Add Field to create a field, choose a field type (for example Single Select or Text), give it a label, and mark it as required if every ticket must have an answer. Each ticket holder answers these questions separately, so a single order for multiple tickets collects one set of answers per ticket.

Eligibility rules

You can restrict who is allowed to buy tickets using eligibility rules, for example by age, gender, or required group membership. Rules are configured in the Eligibility Rules section of the event edit page. See Eligibility rules for details.

Buying tickets

Members buy tickets from the event detail page.

  1. Set the ticket Quantity using the + and buttons, up to the event's max tickets per order.
  2. Click Get Tickets.

What happens next depends on whether the event has any ticket form fields configured:

  • No ticket form fields: the order is completed straight away. For a paid event, you're taken to a payment page to complete the purchase. For a free event, the order is confirmed immediately.
  • Ticket form fields configured: your tickets are reserved first, and a Complete Your Purchase modal opens with a countdown timer. Answer the questions for each ticket before the timer runs out, then click Complete Purchase. For a paid event, you're then taken to a payment page. For a free event, the order is confirmed immediately.
Note

If you close the modal or the countdown expires before you finish, your reservation is released and the tickets become available to other members again. Click Get Tickets to start a new order.

Once payment is confirmed, you'll see a ticket confirmation page and the order status on the event page changes to Confirmed. Confirming a ticket order also marks you as Going on the event's RSVP.

If the event reaches capacity, the Tickets card shows Sold out and no further orders can be placed until a ticket is cancelled.

Note

An order is held as Pending until payment completes, or while you're filling in ticket form fields. Pending orders count towards the event's capacity, so a member with an unfinished order can still hold the last available tickets until the hold expires.

Buying more tickets

If you already hold tickets for an event, the sidebar shows Buy More Tickets below your existing tickets instead of the initial Get Tickets button. Set a quantity and click Buy More Tickets to place a separate order, up to the event's max tickets per order and remaining capacity. This follows the same purchase flow described above, including the ticket form fields modal if the event has any configured.

Cancelling a ticket order

Members can cancel their own tickets from the event detail page, provided the event's cancellation window hasn't passed.

  1. Click Cancel Tickets.
  2. In the Cancel Tickets modal, select which ticket or tickets you want to cancel. Each ticket shows the holder's name and their answers to any ticket form fields, so you can tell tickets apart when you hold more than one.
  3. Click Cancel Selected Tickets.

If a refund window is configured and the cancellation happens within it, the payment is automatically refunded.

If you cancel some but not all of your tickets from an order, the order stays Confirmed with the remaining tickets. If you hold tickets from more than one order and cancel one of them, your RSVP is not affected as long as you still hold tickets from another order; see RSVP and tickets.

Managing ticket orders

Administrators with the Manage Events permission can view and manage all ticket orders for an event from Admin > Events, using the Ticket Sales action on an event.

This page shows:

  • Order totals for orders placed, tickets sold, and total sale value.
  • A searchable, filterable list of orders with the member's name, quantity, total, and status.
  • An Export option to download the order list.
  • View Event and Edit Event links to jump back to the event.

Cancelling an order as an admin

Click Actions > Cancel on an order row to open the Cancel Ticket Order modal.

  1. Select which ticket or tickets to cancel.
  2. If the event is paid, choose whether to Issue Refund for the cancelled tickets.
  3. Optionally enter a Reason for the cancellation, and choose whether to send the member a cancellation email.
  4. Click Cancel Order.

Frequently asked questions

Can I buy tickets for a recurring event's future occurrences?
Yes. Each occurrence has its own tickets and capacity, so you buy tickets for the specific date you're viewing.

What happens if I try to cancel after the cancellation window has passed?
The cancel option is no longer available on the event page. Contact the club to request a manual cancellation or refund.

Does a free event still create a ticket order?
Yes. Free tickets still create an order and count towards capacity, but no payment is taken.

What happens if I don't finish answering ticket form fields in time?
Your reservation expires and the tickets are released back into the available pool. You'll need to start a new order.
