Permissions
Grant members access to specific admin functions, and understand the scoped access session leaders and coaches get automatically.
Permissions can be granted to members, giving them access to specific functions within the platform. For example, granting the Manage Sessions permission lets that member access Admin > Sessions to create and edit sessions.
The System Administrator permission grants access to all platform features.
Available permissions

| Coach Sessions | Gives access to checking members in to sessions and viewing members' contact and medical details. |
| Manage Sessions | Allows access to the Sessions section to create and edit sessions. |
| Manage Events | Allows creating, editing, and cancelling Club Events on the events calendar, and managing their ticket orders. |
| Manage Membership | Allows viewing, editing, and creating members, as well as managing membership packages. Users with this permission can also grant permissions to others, but only a System Administrator can grant the System Administrator permission. |
| View Members | Allows listing, searching for, and viewing member profiles, but not editing members or managing membership. Useful in combination with the Coach Sessions permission. |
| Manage Emails | Grants access to the Emails section of the admin area to send and view emails. Coaches can also send emails from the session details page. |
| Manage Payments | Gives access to the Payments area to view received payments and issue refunds. |
| Manage Facility Hire | Gives access to the Facility Hire admin area to configure facilities, pricing, availability, and bookings. |
| Manage Passes | Allows viewing, creating, and editing passes, and viewing pass purchases. |
| Manage Content | Allows creating content pages and blogs, managing blog posts, and updating site navigation. |
| Manage Store | Grants access to create products and view orders placed in the Store. |
| Manage Forms | Gives access to the Forms admin area to build forms, publish them, and view and export responses. |
| Manage Files | Grants full access to the File Manager to upload, organise, share, and delete files. Only grant this to trusted administrators. |
Session leaders and coaches don't need the Manage Sessions permission to manage their own sessions. Anyone assigned as a session leader, or booked on as a coach, automatically gets scoped access to edit that specific session (or occurrence) and manage its bookings, without being able to edit other sessions, or cancel or delete anything. Granting permissions
To grant permissions to a member, they must have an account on the site. When viewing a member's profile, go to the Account tab. You can also access this page directly from Admin > Membership > Members by clicking the ... menu for a member (look for the shield icon).
To find all members with a particular permission, go to Admin > Membership > Members and use the Permissions filter.
Granting permissions through a group
Permissions can also be granted by a group rather than member by member. Open a group at Admin > Membership > Groups, tick the permissions it should confer, and every member of that group holds them for as long as they remain in it. Remove someone from the group and the access goes with them.
This is the better option whenever the access follows a role rather than a person, such as a committee or a coaching team, because there is one place to audit it and one place to revoke it.
Two rules apply to group-granted permissions:
- System Administrator can never be granted by a group.
- You can only grant permissions you hold yourself, so a group cannot be used to hand out access you do not have.
A member's own permissions and those granted by their groups are combined, so a member holds a permission if either source provides it.
