Martial Arts clubs

Classes, gradings, and belts that gate them

Hold each student's grade on their record, let eligibility rules decide which classes they can book, and run gradings as ticketed events with their own fee.

Progression is the thing other software misses

Most club software assumes members are interchangeable. Martial arts clubs are built on the opposite idea: a student has a grade, the grade decides which classes they belong in, and the whole club is organised around moving people up. Generic booking tools have nowhere to put that, so it ends up in the instructor's head and a paper record.

ClubPal holds grade as a custom field on the member record, and eligibility rules use it. A green belt sees and books the classes a green belt should, and cannot book the advanced session by accident. When they grade, you update one field and their access changes with it.

Gradings themselves run as events: a date, a capacity, an entry fee, and eligibility rules so only students at the right grade can enter. Fees are collected at sign-up rather than in envelopes on the day, and refunds are handled from the dashboard if a grading is postponed.

Grade on the member record
Keep belt or grade in a custom profile field, then let eligibility rules decide which classes and gradings each student can book. Update one field when they progress.
Gradings as ticketed events
Set a date, a capacity, and an entry fee, restrict entry to the right grades, and collect the money at sign-up instead of on the day.
Families on one account
Two children and a parent training at the same club, managed under a single payer with shared billing rather than three separate logins.
Recurring income
Memberships that renew themselves, without a per-member bill
The admin most clubs repeat monthly

Martial arts clubs tend to run on regular membership rather than one annual payment, which means the renewal chase never really stops. It is the single most repetitive job on the committee.

Renewals that need manual chasing each period
Students training on lapsed licences
Cash collected at the door and reconciled later
How ClubPal handles it

Auto-renewal keeps memberships current, eligibility rules keep lapsed students out of classes they should not book, and payment happens at booking rather than at the door.

Auto-renewal on any membership package
No per-member fee as the club grows
Free entirely in a month with no payments

For clubs where everyone is at a different stage

A timetable by class and age
Juniors, seniors, beginners, and advanced classes each with their own capacity, time, and price, repeating weekly with exceptions for closures.
Licence and insurance renewals
Hold governing body licence numbers and renewal dates as custom fields, so the club can see who is due rather than finding out at a grading.
Class blocks and drop-ins
Sell a block of ten classes with tracked usage, or take a one-off drop-in fee, without running two systems to do it.
Parental consent for juniors
Consent, medical notes, and emergency contacts held on the junior record, with GDPR tooling and a Data Processing Agreement included.
Syllabus and grading criteria
Share the syllabus for each belt in a permission-controlled file area, so students can see what they are working towards.
Gi, belts, and equipment
Sell club kit with sizes as variations and member-only pricing, with inventory tracked as orders come in.
