A club that runs two different years
Paddling clubs effectively operate two seasons with almost nothing in common. Winter is indoor pool sessions, tightly capped by how many boats fit in the water and how many the club owns. Summer is river and open water, capped instead by safe leader-to-paddler ratios and by conditions nobody controls.
ClubPal expresses both because capacity is set per session rather than per club. A pool session can be capped at twelve boats, a river trip at six paddlers per leader, and the two can sit on the same calendar with different prices and different rules. Sessions repeat weekly with exceptions for the weeks you are not running.

Is ClubPal free for canoe and kayak clubs?

Can we record Paddle UK membership and paddler awards?
Paddle UK (formerly British Canoeing) membership numbers go in a custom profile field. Paddle awards and leader qualifications are held as qualifications with award and expiry dates, and a session can be restricted to paddlers who hold a given award. ClubPal is not connected to Paddle UK, so the club records these rather than them being checked against their system.
Can a river trip be capped by leader ratio?
Yes. Set how many paddlers each leader can take and the number of leaders a session needs goes up as bookings arrive, with a minimum you set for quiet weeks. A session can also refuse anyone as a leader who does not hold the qualification you require.
Does it work for sea kayaking, canoe polo and paddleboarding?
Yes. Sessions are not tied to a type of craft or water, so pool sessions, river trips, sea trips, canoe polo training and SUP sessions all sit on the same calendar with their own capacity, price and rules.
Do trip leaders see emergency contacts?
Profile fields you choose, such as emergency contact and medical notes, appear on the booking summary and the bookings export, so whoever runs the trip has them alongside the list of who is booked on.
