Two seasons, two sets of constraints
Pool sessions capped by boats, river trips capped by safe ratios, and plans that change with the water level. Handled in one place your paddlers can actually use.
A club that runs two different years
Paddling clubs effectively operate two seasons with almost nothing in common. Winter is indoor pool sessions, tightly capped by how many boats fit in the water and how many the club owns. Summer is river and open water, capped instead by safe leader-to-paddler ratios and by conditions nobody controls.
ClubPal expresses both because capacity is set per session rather than per club. A pool session can be capped at twelve boats, a river trip at six paddlers per leader, and the two can sit on the same calendar with different prices and different rules. Sessions repeat weekly with exceptions for the weeks you are not running.
The safety side matters more here than in most sports. Consent, medical notes, and emergency contacts live on the paddler record, trip sign-ups can be collected through a form with the specific questions a trip needs, and your risk assessments and safety policies can sit in the file manager where members can actually find them.
Consent forms in a folder, emergency contacts in a spreadsheet from two seasons ago, and a trip list that lives in whoever organised it. Fine until the day it is not.
The booking is the record. Whoever is booked onto a session is the list, their contact and medical details sit on their profile, and the policies are in one shared place.
