Payments overview

Take payments for membership, sessions, products, and one-off charges, and see how providers, saved cards, digital wallets, and fees work.

ClubPal can simplify your club's finances by centralising payments from your members and giving you quick access to transactions and reports. You can take payments for membership, paid sessions, products or merchandise, as well as accepting one-off payments.

Dashboards give you an instant overview of your income as well as full, exportable reports, so you can reconcile your accounts. ClubPal also allows you to quickly issue full or partial refunds with no ClubPal fee on the refunded amount.

Payment methods for sessions

ClubPal offers flexible payment methods for paid sessions:

  • Payment in person - no online payment taken; the member pays at the session by cash or other arrangement
  • Card when booking - payment by debit or credit card at the time of booking
  • Pass - the booking is deducted from a pre-purchased Pass

Saved cards

Members can save their card details for faster checkout when making future payments. Card information is stored securely by the payment provider, not by ClubPal.

Payment providers

Payments are processed via ClubPal Payments, our payment processing partner. This is fully Payment Card Industry Data Security Standards (PCI DSS) compliant and supports Strong Customer Authentication (SCA).

Security

ClubPal does not store any card or security details for users' cards.

Digital wallets

ClubPal supports payments via digital wallets such as Apple Pay and Google Pay. Subject to device and browser compatibility, these can be used to pay for sessions, products, and merchandise.

Charges

Payments on ClubPal are subject to a transaction fee. ClubPal charges a flat fee of 20p + 3.5% per transaction via ClubPal Payments, this is the only fee you'll see, there's no separate card processing fee on top.

There's nothing for your club to actively pay: the fee is deducted automatically at the time each payment is taken, and the remaining balance is paid out to your club's own bank account. No credit card or other payment method is required from your club.

Session cost reporting

When setting up a session you can optionally record the running cost of the session. This enables you to report on whether a session covers its costs, grouped by time period and category. For example, you can run a report on all sessions categorised as "Track" over a 12-month period to see whether income covered costs.
