Works with the tools you already use

Connect ClubPal to Zapier, Make or Power Automate, and the thousands of apps they reach, without writing any code. New members on your mailing list, payments in your spreadsheet, blog posts on your Facebook page.

Your club’s own automation, without waiting for us

Every club runs a little differently. One wants a welcome pack posted the day someone joins. Another wants the treasurer’s spreadsheet to fill itself in. A third wants the coaches told the moment a waiting list starts to grow. We could never build every one of those, and you should not have to wait for us to try.

So ClubPal now tells other apps when something happens. Someone joins, a membership ends, a booking is cancelled, a payment comes in, a blog post goes live: ClubPal sends the details to a tool like Zapier, Make or Power Automate, and you decide what happens next, in the apps your club already uses.

Developers call these messages webhooks. You do not need to know how they work to use them: the automation tool gives you a web address, you paste it into ClubPal and tick the events you want.

No code
Zapier, Make and Power Automate connect thousands of apps with a few clicks. Our guide walks through each one.
You choose what is sent
Pick the events for each connection. Card details, medical information and form answers are never sent.
The club decides
Only a System Administrator can set one up, and every change is recorded in your audit log.

When this happens in ClubPal, do that over there

Someone joins
Add them to your Mailchimp list, send the welcome pack and create a task for the membership secretary.
A membership ends
Send a friendly “we miss you” email a week later, or ask them why they left.
A membership needs approving
Post it to the committee’s channel so someone approves it the same day, not at the next meeting.
A renewal fails
Post a note in the committee’s Slack or Teams channel so someone can get in touch before they lapse.
A waiting list grows
Tell the coaches when someone joins a waiting list or is moved into a place, so they can plan an extra group.
A blog post goes live
Share it on your Facebook page and add it to next week’s newsletter.
A payment comes in
Add a row to the treasurer’s Google Sheet, or record it in your accounts.
A kit order is placed
Email the kit secretary the order, or add it to the supplier spreadsheet.
Someone books, cancels or attends
Keep an attendance sheet up to date, or follow up with anyone who has stopped coming.

Two places to click, no developer needed
1. In your automation tool

Start a new automation in Zapier, Make or Power Automate and choose its webhook trigger. It gives you a web address for ClubPal to send to.

Zapier: Webhooks by Zapier, Catch Hook
Make: Custom webhook
Power Automate: When an HTTP request is received
2. In ClubPal

A System Administrator goes to Admin > Webhooks, adds the address and ticks the events it should receive. Send a test event to check it arrives, then build the rest in your tool.

Around 30 events: members, memberships, bookings, sessions, payments, orders and more
Up to 10 connections, each with its own events
A delivery log shows exactly what was sent, and when

Connections every club gets from day one

AI assistants
Connect ChatGPT, Claude or Gemini and ask about members, renewals, sessions and money in plain English.
Apple Wallet and Google Wallet
Members carry their membership card on their phone, with a QR code that shows their live status.
Apple Pay and Google Pay
Members pay for memberships, bookings, tickets and kit in a tap, with no card details to type.
Calendar apps
Members subscribe to their bookings from Apple, Google or Outlook calendar, and new bookings appear on their own.
Accounting software
Export each payout as a statement for Xero, QuickBooks, FreeAgent, Sage or any package that imports a bank statement.
what3words
Give sessions and events a what3words address, so members find the right gate, car park or field.
Safe by design
Your members’ details stay under the club’s control
What a webhook does

It sends the details of the events you ticked to the one address you gave it, signed so the other end can check it really came from ClubPal.

Sends only the events you choose, per connection
Retries for about three days if the other app is down
Records every delivery in a log you can open
Can be paused or deleted at any time
What it never does

Webhooks only send information out. Nothing outside ClubPal can change your club through them.

Send card details, medical information or form answers
Send to an address that is not secure (https)
Let another app edit members, bookings or payments
Get set up by anyone but a System Administrator

Questions about connecting ClubPal

What is a webhook?

A webhook is a message ClubPal sends to another service the moment something happens, such as a new member joining or a booking being cancelled. You give ClubPal a web address and choose which events to send, and the service at that address acts on them. You do not need to know how it works to use it: Zapier, Make and Power Automate give you the address and do the rest.

Do I need a developer to connect ClubPal to other apps?

No. Zapier, Make and Power Automate connect thousands of apps without any code, and the ClubPal guide has step-by-step recipes for each of them. Clubs with their own developer can point webhooks at their own code instead; the guide covers that too.

Does it cost anything?

Not from ClubPal. Webhooks, the AI assistant connection and the built-in connections are part of ClubPal for every club, with no subscription and no add-on fee. Zapier’s webhook trigger and Power Automate’s HTTP trigger are premium features on their side, so you may need a paid plan with them. Check their current pricing.

Which apps can ClubPal work with?

Anything Zapier, Make or Power Automate can reach, which covers most of what clubs use: Google Sheets, Mailchimp, Slack, Microsoft Teams, Outlook, Gmail, Trello, Xero and Facebook Pages among thousands of others. ClubPal sends the event, and the automation tool connects it to the app.

Can we post to our Facebook group automatically?

To a Facebook page, yes: ClubPal announces each blog post as it goes live, and an automation tool can share it to your page. Not to a group. Facebook stopped letting outside apps post into groups in 2024, so no tool can do that for you.

What member details are sent?

Only the events you tick for each connection, and those include the details of the people they are about, such as names, email addresses and phone numbers. Card details, medical information and form answers are never sent. Only a System Administrator can set up a webhook, because it sends members’ details to the service you choose, so check it fits your club’s privacy notice first.

Can other apps change things in ClubPal?

No. Webhooks only send information out, and the AI assistant connection is read-only. Nothing outside ClubPal can edit a member, take a payment or cancel a booking.

Does ClubPal have a public API?

Not at the moment. Webhooks tell other apps what happens in ClubPal as it happens, and the AI assistant connection answers questions about your club’s data. Between them they cover most of what clubs ask an API for.
