Gymnastics clubs

Every class, every level, capped

Recreational, development, and squad classes each have a coach ratio you cannot exceed. Set the real number, let the waiting list do the rest.

Ratios are not a guideline, they are the whole constraint

Gymnastics is one of the few club sports where capacity is a safety rule rather than a preference. A recreational class has a coach to gymnast ratio, a development squad has a tighter one, and the number of gymnasts on a floor at once is limited by the coaches qualified to be there. Software that treats capacity as a soft suggestion is no use.

ClubPal sets capacity per session, so each class carries its own hard number and its own assigned coach. When a class fills, the waiting list takes over and promotes automatically as places come free, which matters when a term block is already paid for and a space sitting empty is money the club has lost.

The rest follows the same shape. Terms sell as blocks paid upfront rather than as rolling memberships, levels are membership packages with eligibility rules so a gymnast moving up buys the right one, and consent, medical, and photography permissions are collected once and exported when the club needs them.

Hard caps that respect ratios
Set the real number of places a class has, per session rather than per club, so a recreational class and a squad session are different things.
Terms sold as blocks
Sell a ten week term upfront with usage and expiry tracked, instead of collecting a class fee at the door every week.
Waiting lists that fill the gap
A dropped place offers itself to the next family automatically, so a paid hall hour does not run under capacity.
Why capacity is different here
A full class is a safety limit, not a busy night
What most software does

General club software treats capacity as one number for the whole club, or as a soft cap that can be overridden at the door. Neither works when the limit is a coaching ratio.

One capacity setting across every session
Overbooking possible without a warning
Waiting lists managed by hand, if at all
How ClubPal handles it

Capacity belongs to the session, so each class carries the number its ratio allows and the system holds the line.

Per-session hard caps with an assigned coach
Automatic waiting list promotion on a drop-out
Term blocks paid upfront, tracked to expiry

Built for how a gymnastics club actually runs

A class per level, with its own cap
Recreational, development, and squad classes each with their own capacity, coach, price, and register.
Levels with eligibility rules
Age and previous membership control which class a gymnast can be booked into, so progression does not need manual checking.
Consent, medical, and photography
Collect parental consent and medical notes once as forms or custom fields, and export them when the club needs them.
Term fees taken upfront
Payment at the point of booking, so the term is paid for before it starts rather than chased through it.
Message one class
Email a single class about a cancellation without messaging the whole club, with GDPR-compliant tooling built in.
See which classes fill
Attendance and income per class, so the committee can add a session where the waiting list is longest.
