Questions from village halls
Is ClubPal free for village halls?
There is no subscription, no per-member charge and no contract. A hall that takes no payments through ClubPal pays nothing at all. When you do take money, for a room hire, a membership or an event ticket, the fee is 20p + 3.5% per transaction with card processing already included.
Can hirers book the hall online?
Yes. Each room has its own opening hours, prices by length of booking, minimum notice and how far ahead it can be booked. Anyone can see the rooms and prices without signing in. To book, a hirer creates a free account on your site, picks a slot, accepts your conditions of hire and pays by card, Apple Pay or Google Pay.
Can we take a deposit on a large booking?
Yes. Set the smallest deposit and when the balance is due for each room. The hirer pays the deposit when they book, their card is saved, and the balance is taken automatically before the booking, so nobody chases it.
Can ClubPal handle regular weekly hirers?
Not as a repeating series yet. Each hire is a single date, so a group that uses the hall every Tuesday is booked one Tuesday at a time. Repeat bookings are on our roadmap. If most of your income is regular hirers and the hall runs nothing else, a dedicated hall booking system will suit you better for now.
Can Friends of the Hall members pay less for room hire?
Yes. Each room can carry a separate price for each membership, so a member is charged the members’ rate automatically at checkout and everyone else pays the standard price.
Can we sell tickets to people who are not members?
Yes. Anyone can buy a ticket for an open event once they have a free account on your site, with no membership needed. Set a price and a capacity, ask a question per ticket such as a meal choice, and choose whether buyers can cancel.
Can we close the hall for maintenance or our own events?
Yes. A blockout closes one room, or every room at once, for a date and time range, so nobody can book over the jumble sale, the decorators or a bank holiday.
