Deleting your account
How a member deletes their own ClubPal account, what is removed, what the club keeps, and what an administrator should expect afterwards.
A member can delete their own ClubPal account from inside the app, without emailing the club or contacting support. The deletion is permanent. There is no restore, and signing up again creates a new, empty account with no bookings, no membership and no history.
Administrators can still remove somebody from Admin > Membership > Members, using Actions > Delete Member... on their profile. Self-service deletion does not replace that. It gives a member a route that does not depend on anyone else being available.
Where it lives
The option sits at the bottom of the member's own account menu, under a separator and away from everything else, at Profile > Delete Account.
Deleting an account
- Go to Profile > Delete Account.
- Read What gets deleted and What the club keeps. If the member manages anyone else's profile, those profiles are named here.
- Enter Your password.
- Type
DELETEinto Type DELETE to confirm. It is case sensitive, so "delete" is refused. - Click Delete my account.
The member is signed out as soon as the deletion is accepted, and their sign-in stops working immediately, before the rest of the removal has finished. Trying to sign in again gives Invalid login attempt.
What is removed, and what the club keeps
The rest of the removal runs in the background and usually completes within seconds.
| What | What happens to it |
|---|---|
| Profile details | Deleted. Name, contact details, date of birth, photo and any custom profile fields. |
| Sign-in | Deleted, along with any devices set up to receive notifications. |
| Saved payment methods | Deleted. Card details are held by the payment provider, never by ClubPal. |
| Bookings and attendance | Kept by the club, reassigned to Deleted User, so session numbers and registers stay correct. |
| Passes, orders, receipts and purchases | Kept and reassigned the same way. |
| Uploaded files | Kept and reassigned the same way. |
| Form responses | Kept and reassigned the same way, so response counts and exports stay correct. The respondent shows as Deleted User, and the answers are kept exactly as they were submitted. |
| Chat messages and reactions | Left in place, shown as posted by Deleted User. |
| Membership | Ended. The membership is suspended, given an end date, and auto renew is switched off. |
| Financial records | Kept for six years from the end of the accounting period, as UK tax law requires, and no longer linked to the person. |
The link to the member is removed, the answers are not. Anything personal a member typed into an answer, a name, a phone number, a medical detail, is still in the club's responses table and its exports after the account is gone, and the app has no way to delete a single response. If a member asks for their form answers to be removed as well, contact ClubPal support.
Anything the club has a safeguarding duty to retain is kept for the period its safeguarding policy sets. The full detail is in the account deletion policy, which the delete page links to.
A membership held in somebody else's name, such as a family membership paid for by another member, is not ended when one of the people on it deletes their account. Check the membership and end or amend it yourself if it should not continue.
Profiles the member manages
A member who manages other profiles, a parent with a child's profile for example, only disconnects them by deleting their own account. Those profiles stay with the club, keep their bookings and their own logins, and lose nothing.
Both sides are emailed about each disconnection, the same notification sent when a link is removed for any other reason. If the profiles should go as well, the member needs to ask the club before deleting their own account, and an administrator deletes them separately.
What administrators should expect
- The club is not told. No email or alert is sent when a member deletes themselves. A member who disappears from the members list and shows as Deleted User on past sessions has most likely done this.
- Nothing can be undone. There is no restore, in the club or through ClubPal support. A member who changes their mind has to register again as a new member.
- There is no guard on administrators. An administrator can delete their own account like anyone else.
If the person deleting their account is the only one with the Manage Club permission, the club is left with no administrator and cannot promote anyone. Give someone else that permission first. Recovering from it needs ClubPal support.
Tips
- A member with an active membership or an outstanding payment should speak to the club first. Deleting an account ends the membership but does not refund anything.
- If a member asks the club to delete them instead, use Actions > Delete Member... on their profile. It is the same removal, and it lets you choose it for someone who has no login of their own.
- Members who only want to stop hearing from the club do not need this. Profile > Notifications turns email off without losing their history.
