Delete your account

You can ask us to delete your ClubPal account and the personal data held against it at any time. This page explains exactly what is deleted, what we are legally required to keep, how long it takes, and how to submit your request. You do not need to install the app or sign in to use it.

Which App This Covers

This page covers the ClubPal mobile app, published by ClubPal Ltd, and the member account it signs you in to.

Your member account does not live on the ClubPal website. It lives inside your club's own ClubPal instance, at an address like https://yourclub.clubpal.app/. That distinction matters for who can action your request, and it is covered in the next section.

If you administer a club on ClubPal rather than being a member of one, contact us at privacy@clubpal.app instead, as closing a club account also affects that club's other members.

How To Request Deletion

Your club controls your member data, not ClubPal. Under UK GDPR your club is the Data Controller for the personal data held about you in its ClubPal instance, and ClubPal is the processor acting on the club's instructions. We cannot delete that data on our own initiative, so we pass your request to your club and see it through. See our Privacy Policy for the full definitions.

The steps

  • Submit your request. Use the form at the bottom of this page, or email privacy@clubpal.app with the subject “Account deletion request”. Include your full name, the email address on your account, and your club's name.
  • We acknowledge it. We aim to confirm receipt within one business day.
  • We verify who you are. We may email you to confirm the request genuinely came from the account holder. This protects your account from someone else deleting it.
  • We forward it to your club. Your club's administrators action the deletion in their instance, and we support them in doing it.
  • We confirm completion. You get a written confirmation once the deletion is done.

We respond to all requests within 30 days, as required by UK GDPR. No account or app is needed at any point in this process.

If you would rather ask your club directly, you can. Any club administrator can delete a member account from within ClubPal without involving us.

Section 03

What Gets Deleted

When your request is actioned, the following are permanently deleted or irreversibly anonymised:

  • Your profile: name, email address, phone number, date of birth, postal address, emergency contact details, and profile photo.
  • Your login: account credentials, stored password hash, and any active sessions.
  • Mobile app data: push notification tokens registered to your devices, and app session data held against your account.
  • Your activity: membership records, session and event bookings, attendance history, and results recorded against you.
  • Your submissions: files you have uploaded and forms you have completed.
  • Your preferences: marketing consents and email subscription state.

Deletion is permanent. Once it is done, the data cannot be recovered and your account cannot be reinstated. Signing up again creates a new, empty account.

Section 04

What We Have To Keep

A small amount of data survives deletion, because the law requires it or because it is no longer personal data. Nothing listed here is used to contact you or to rebuild your profile.

  • Financial and payment records such as invoices, transactions, and refunds. Kept for 6 years from the end of the relevant accounting period, as required by UK tax law. ClubPal never stores your card details, they are held by our payment provider.
  • Safeguarding and incident records, where your club has a statutory duty to retain them. These are kept for the period set by your club's safeguarding policy and the relevant governing body, and your club can tell you what that period is.
  • Anonymised, aggregated statistics such as attendance counts. These are stripped of anything identifying you before retention, and cannot be traced back to you.
  • Encrypted backups, which are purged on a rolling 35 day cycle. Your data is removed from live systems immediately and disappears from backups as that cycle completes. Backups are never used to restore a deleted account.

Separately, if you have ever contacted ClubPal directly through the clubpal.app website, for example an enquiry form or a newsletter signup, ClubPal is the Data Controller for that data and we delete or anonymise it within 90 days. This is set out in our Privacy Policy.
