New in ClubPal: Eligibility Rules for Membership Packages
We're introducing Eligibility Rules for ClubPal memberships, giving volunteer-run sports clubs much more control over who can purchase each package.
Clubs can now restrict membership packages using:
- Age range
- Previous membership history
- Gender
- Custom profile field values
That means you can create targeted packages such as junior memberships, category-specific memberships, or offers that depend on information already collected in the member profile, without relying on manual checks behind the scenes.
Why this matters
For many clubs, membership admin gets messy when package rules live in a committee member's head instead of in the system.
You might have a junior package that should only be available to members aged 13 to 18. You might have a discounted package that only applies to athletes in a certain squad, county, or claim category. Or you may need to keep one package limited to a specific group based on data captured in your custom profile fields.
There is also the classic problem of introductory or trial memberships. These should only be available to people who have never joined before, or who have not been a member for a number of years. Enforcing that manually is awkward, and it often falls through the cracks.
Until now, those checks often had to happen manually. That adds friction for members and extra admin work for volunteers.
Eligibility Rules move that logic into ClubPal itself.
What clubs can now do
With Eligibility Rules, clubs can build package restrictions around real membership scenarios, including:
- Junior memberships with minimum and maximum age limits
- Adult or senior packages with age-based access
- Introductory or trial memberships for new members who have never joined before
- Re-engagement packages for members who have not been active for a number of years
- Packages limited by gender where that is relevant to the club's structure
- Packages that depend on custom profile data such as squad, category, county, certification, or club role
- More advanced combinations of rules using grouped logic
This makes it much easier to offer the right packages to the right members while keeping your public membership page clear and easy to understand.
Flexible grouped logic
The new rules engine supports grouped conditions, so clubs are not limited to a single simple check.
For example, a package can require a member to fall within an age range and also match profile criteria. That could mean a junior package for athletes aged 13 to 18, or a senior package available only to members who match a city or county field.
This approach gives clubs more room to model how memberships work in the real world, especially when packages reflect age groups, local eligibility, competition structure, or internal club pathways.
Previous membership history
One of the most requested additions is the ability to create introductory or trial packages that are only available to brand-new members.
The Previous Membership rule type addresses this directly. When you add this rule to a package, ClubPal checks whether the member has held a membership before and blocks purchase if they have.
You have two options:
- Leave Within years blank to block anyone who has ever held a membership, regardless of when it ended. This is the strictest setting and works well for a true first-time-only package.
- Set Within years to a number to allow members back in once enough time has passed. For example, setting this to 2 means a member whose last membership ended three years ago can purchase the package again. A member whose membership ended six months ago cannot.
This makes it straightforward to run offers or taster packages that genuinely reach new members, rather than being repeatedly used by existing members who already know the club well.
Clearer experience for members
Eligibility Rules are not just an admin feature. They also improve the experience for members.
When a club adds requirements to a package, those requirements are shown on the membership option before checkout starts. Members can see the rules up front, understand whether a package applies to them, and choose with more confidence.
If a member does not meet the criteria, ClubPal blocks the purchase automatically.
That means:
- Fewer accidental purchases of the wrong package
- Less back-and-forth after checkout
- Less committee time spent fixing avoidable mistakes
- More confidence that members are selecting the correct option first time
A practical example
One of the clearest use cases is a club that offers separate annual memberships for juniors and seniors.
The junior package can be restricted to members aged 13 to 18. The senior package can be set to 18 and over, while also checking a profile field such as city or county if needed.
On the member-facing membership page, each package can then show its eligibility requirements clearly. Instead of guessing which option applies, members see the conditions before they click through.
For volunteer-run clubs, that clarity matters. It reduces confusion at the point of purchase and helps clubs avoid awkward follow-up messages to correct the wrong membership choice.
Built for real club admin
This feature is especially useful for clubs that run multiple membership types across age groups, squads, or participation categories.
If your club serves runners, triathletes, swimmers, tennis players, martial arts members, or other community sports groups, you probably already deal with rules that differ by age, profile, or eligibility pathway. Eligibility Rules help you manage that structure directly inside ClubPal, rather than relying on notes, spreadsheets, or manual review.
The result is a cleaner process for clubs and a smoother join experience for members.
What comes next
This is only the start for this rules engine.
We're planning to extend the same approach into other areas of ClubPal, including future scenarios such as session bookings, where clubs may want to restrict access based on age, certification, or other member data.
That opens the door to more powerful controls across the platform, while keeping the experience straightforward for both administrators and members.
