There is a clubhouse on the green in Whitton that four clubs call home. Whitton Wanderers play their football there, Whitton Lions their rugby, Hounslow & Whitton their cricket on a square that has been in use since the war, and Whitton Park Tennis runs its floodlit courts alongside. Between them they share one ground, one bar and, as the association likes to put it, "a hundred years of common cause".

On a Saturday afternoon, Whitton Park Sports Association is a sports ground with a very good bar. On a Saturday night it is something else entirely. The function room seats seventy, with a sprung floor for the first dance, a small stage for the speeches, a proper kitchen for the caterers, and a patio that opens the whole room onto the grounds on a summer evening. It hosts weddings and wakes, christenings and fortieths, AGMs and Tuesday yoga. It is a big part of what keeps the lights on.

And, like almost every clubhouse in the country, it is run by volunteers.

Why a busy room is hard work

Hiring out a room sounds simple until it is your job. Someone asks whether a Saturday in June is free. A volunteer checks the diary, assuming the diary is up to date, and replies that evening. The hirer asks about the price, then the kitchen, then goes quiet for a week, and in the meantime somebody else has asked about the same Saturday. No money has changed hands, and the only record of any of it is an email thread in one person's inbox.

WPSA describes itself as "a friendly committee, not a corporate inbox", and that is exactly the point. A committee like that should be spending its time on the questions that need a person, not on telling people whether the 14th is free.

Letting the room book itself

These days, "Book the venue" on the WPSA website takes you straight to their ClubPal site, where the Function Room and the Outdoor area are both listed with prices you can see before you ask. Pick a space, pick a date, and you see the start times that are genuinely free and what they cost. Pay, and it is booked. Nobody on the committee has to be awake for any of that to happen.

That is Facility Hire, and most of what makes it work is the part nobody notices.

When someone starts a booking, the slot is held for them while they pay and let go automatically if they wander off, so two people can never land on the same Saturday. A short changeover gap after each hire means the next group is not arriving while the last one is still stacking chairs. When the clubs need the room or the grounds for themselves, those dates simply come off the calendar, and hirers see them as taken. Cancellations follow the policy the committee set, rather than a conversation, though the committee can always make an exception when one is deserved. And every hirer gets a confirmation and a reminder the day before, without anyone having to send them.

Next: the pitches

The function room was the natural place to start. The grounds come next.

At the moment, anyone wanting a pitch or the square for a school sports day, a charity tournament or a friendly still has to get in touch and ask what is free. The plan is to put the football pitches and the cricket square on the same booking page as the function room, so hiring a pitch for a Sunday morning works exactly like hiring the room for a Saturday night.

It is a small step, because Facility Hire already treats a pitch the way it treats a room: its own hours, its own prices, its own rules. Home fixtures and training go in first, and whatever is left over is there to be booked.

Does your clubhouse sound like this?

WPSA happens to be a sports association, but there is nothing sporting about the problem. A village hall with a main hall and a committee room, a community centre letting rooms by the hour, a cricket pavilion that turns into a party venue on a Saturday night: they are all the same job, and it can be done the same way.

One thing worth knowing up front: hirers book through an account on your ClubPal site, so a first-time hirer creates one as they book. It takes a minute, and it means every booking comes with a name, an email address and a record of payment attached.

Setting up a ClubPal site is free, and there is no quote to wait for. Add your hall, set a price, and take a real booking before you decide anything. Have a look at how Facility Hire works, or get started today.
