Store overview

Run an online shop for your club, selling kit, merchandise and affiliation fees directly or alongside a membership package.

The ClubPal Store lets you sell things to your members and, where you want to, to the public. Products can be sold from the Store page on your website, or offered during the membership checkout so a new member buys their kit and pays their affiliation fee in the same transaction.

Turning the Store on adds a Store item to your site navigation. That page lists every product with Show In Store enabled, and members can search it or filter it by category.

What you need before you start

Features at a glance

  • Products: create products with an image, a short and a full description, a price, and optional variations such as size or colour. See Products.
  • Inventory tracking: track stock for the whole product or per variation. Sold out items stay listed but cannot be bought.
  • Order management: view, progress and cancel orders at Admin > Store > Orders. See Orders.
  • Products at checkout: attach products to a Membership Package so they are offered while somebody joins or renews.
  • Availability dates: put a product on sale between two dates, for seasonal kit or a limited run.
  • Eligibility rules: restrict a product to members, to an age range, to a group, or to a profile field answer.
  • Discount codes: discount codes can be applied to a store order at checkout.

What buying looks like

Anyone can browse the Store, but checking out requires an account, so the order is always attached to a member record.

  1. The member picks a variation and a quantity, then clicks Add to Cart. The cart is kept for seven days, so a half-finished order survives closing the browser.
  2. Clicking Pay Now takes them to the checkout, where they can apply a discount code and leave a note for you.
  3. They pay by card. Only once the payment succeeds is the order created, its number issued and stock reduced.
  4. They land on a confirmation page showing your Order Confirmation Message, and are emailed a confirmation and a receipt.

Buttons that are not Add to Cart

The button on a product tells a member why they cannot buy it, rather than the product quietly disappearing:

Stock is held while it is in a cart

Adding a tracked item to a cart reserves that quantity for ten minutes, and the hold is refreshed each time the member adds to the cart or revisits the checkout. Everyone else sees stock as though the held items were already sold, which is what stops two people buying the last shirt at once.

If the member walks away, the hold simply lapses and the stock goes back on sale. Nothing is deducted for real until the payment completes.

Selling alongside a membership

Products can be offered during membership checkout instead of, or as well as, in the Store. Edit a Membership Package, and choose products under Available Products. Anyone buying that package is offered those products before payment, and what they choose is billed with the membership.

This is the usual home for club kit and for governing body affiliation fees. A product does not need Show In Store enabled to be sold this way, so you can keep an affiliation fee out of the public shop and still collect it at renewal.

Order emails and notifications

When a member places an order they receive an order confirmation and, where money changed hands, a payment receipt.

Anyone with the Manage Store permission can be told about each new order. The notification is called Order placed, under Sales in My Profile > Notifications, and can be delivered by email, in the notification bell, or both. Email is on by default, so a new administrator with Manage Store starts receiving order emails without doing anything.
