Automated emails
Every email ClubPal sends on its own, which of them a member can turn off, and what each one defaults to.
ClubPal sends email automatically when things happen on the platform. There are two kinds, and the difference matters more than the list itself.
| Kind | Can it be turned off? |
|---|---|
| Transactional | No. It is about something the member did, or something that affects them directly: a booking, a payment, a membership. |
| Preference-controlled | Yes, per member, at Profile > Notifications. Each one has a default, listed below. |
One switch overrides both. Enable Email? at Profile > Notifications stops the club sending that member any email at all, transactional included. See Notification preferences.
Sessions
Booking Confirmed Sent when a member books on to a session, confirming the booking with session details. Members promoted from the waiting list to the confirmed booking list also receive this email. Coaches get their own version when they are assigned to a session.
Booking Cancelled Sent when a member cancels their booking, confirming the cancellation.
Booking Swapped Sent when a booking is moved to a different session, naming both. See Swapping bookings.
Added to Waiting List Sent when a member joins the waiting list for a session that is at capacity.
Session Cancelled Sent to all members with a confirmed booking when a future session is cancelled.
This email is only sent when a future session is cancelled. Members on the waiting list do not receive the Session Cancelled email.
Session Updated Sent to all booked members when the date, time or location of a session is changed, provided the session has not yet ended.
Session Cancelled, Session Updated and the waiting list promotion are Always on. Turning up to a session that was cancelled, or at the wrong place, is the failure they exist to prevent, so they are not offered as a preference.
Session Reminder (preference-controlled, defaults to a bell alert and no email) Sent two hours before a session the member is booked into starts. It defaults to an alert rather than an email, because for a member who trains three times a week an email each time is three emails a week they did not ask for. A member who wants it in their inbox turns the Email switch on.
New Session Added (preference-controlled, defaults to email on, alerts off) Sent when a new session is added to the calendar.
Chat
Every chat message type can be emailed, and every one of them defaults to a bell alert with the email switched off. An active conversation would otherwise arrive one email at a time.
Session, Channel and Event messages (preference-controlled, defaults to alerts on, email off) A new message, or a reply, in a conversation the member is subscribed to. See Using chat for how a member ends up subscribed.
Message Reported (preference-controlled, defaults to both on) Sent to everyone with the Manage Chats permission the first time a message is reported. Later reports on the same message do not send another, so a pile-on does not become a pile of mail. See Moderating chat.
Reactions are the exception: somebody reacting to a message is a bell alert only and can never be emailed.
Payments
Payment Receipt Sent to a member when they make a payment on the platform, providing a record of the transaction.
Membership
Membership Activated Sent when a member purchases or is manually added to a Membership Package, confirming the details of their new membership.
Membership Pending Approval Sent to the member when their package needs approving before it takes effect, and to administrators so they know there is something to decide. Membership Approval Denied follows if it is turned down.
Invite to Membership Sent when an administrator invites a member to take up a package. See Invite members.
Membership Expiry Reminder When enabled, sent a configured number of days before a member's membership expires.
Members who have opted in to automatic renewal will not receive this reminder: they receive the Membership Renewal Reminder instead.
Membership Renewal Reminder When enabled, sent to members who have opted in to automatic renewal a configured number of days before their membership expires.
Membership Renewed Sent when a membership is successfully renewed automatically.
Membership Renewal Failed Sent when an automatic renewal attempt fails (for example, if the member's payment card has expired or been declined). The email invites the member to renew manually.
Package Requires Approval (preference-controlled, defaults to both on) Sent to administrators when a membership package is waiting for approval. Defaults to both channels because it is a queue somebody has to clear.
Membership Activated (Admin Notification) (preference-controlled, defaults to email on, alerts off) Sent to administrators when a membership package is purchased.
Account Created (Admin Notification) (preference-controlled, defaults to email on, alerts off) Sent to administrators when somebody creates an account.
Passes
Pass Purchased Sent when a member buys a pass, confirming what it covers.
Pass Activated Sent when a pass becomes usable.
Pass Renewed, and Pass Renewal Failed when an automatic renewal cannot be taken.
Pass Expired Sent when a pass runs out.
Pass Purchased (Admin Notification) (preference-controlled, defaults to email on, alerts off) Sent to administrators each time a pass is bought.
Store
Order Receipt Sent to a member when they place an order, summarising the items ordered and including a payment receipt where applicable.
Order Placed (Admin Notification) (preference-controlled, defaults to email on, alerts off) Sent to members with the Manage Store permission each time an order is placed.
Files
File Shared (preference-controlled, defaults to both on) Sent when somebody shares a file or folder with the member. Defaults to both channels because a share is useless if nobody notices it. It is never sent as a push notification.
Account
These are transactional and cannot be turned off. They are how somebody gets into their account in the first place.
Welcome Email, sent to a new member, configurable at Email settings.
Confirm Email, Reset Password and Password Changed, covering sign-up and account security.
Invitation, sent when an administrator invites somebody to join the club. See Invite members.
Linked profile notifications, sent when a profile is linked to or unlinked from a parent account, to both parties. See Linked profiles.
