The switch we announced in July went ahead on Monday 15 September. Every payment your club takes through ClubPal now runs through the new provider, at the new rate. Here is what is different, and what to check.

One flat fee

Card processing and ClubPal's fee are now one charge: 20p + 3.5% per transaction. There is no separate card fee, no monthly subscription and nothing at all in a month where your club takes no payments.

The 3.5% is the same in every country ClubPal supports. Only the fixed part changes with your club's currency: 20p in the UK, €0.25 in Ireland and the eurozone, US$0.30, C$0.30, A$0.30 and NZ$0.50. The full table is on the payments feature page.

For a UK club that means £48.05 on a £50 booking where you kept £47.80 before, and £96.30 on a £100 payment where you kept £95.80.

Refund a payment, get the whole fee back

When you refund a member, the entire 20p + 3.5% fee is returned to your club, in proportion to the amount refunded. Refund in full and all of it comes back. Refund half and half of it comes back.

That includes the part of the fee covering card processing. The card networks keep their cut whether or not a payment is later refunded, and ClubPal absorbs that cost rather than passing it on to you. Most club platforms do not, which is why a cancelled session elsewhere still leaves the club out of pocket. We wrote up why the industry works that way, and why we don't.

Refunds are issued from Admin > Payments > Dashboard as before, full or partial. Payments taken before 15 September through Stripe or Square can still be refunded from the same place: ClubPal routes those back through the provider that took them, under the fee arrangement that applied at the time.

Pass the fee to members, if you want to

There is now a club-wide setting to add the processing fee to the member's total at checkout instead of absorbing it. The member sees it as a separate line before they confirm. It applies to everything your club charges for, sessions, memberships, tickets and facility hire alike, and a refund returns what the member paid for the item itself.

It is off by default. Whether you absorb the fee or pass it on is your call, and you can change it at any time under Admin > Settings > Payments.

Payouts

Payouts run daily, Monday to Friday, on a two-working-day basis. A payment taken on Monday reaches your bank account on Wednesday. Any balance still held by Stripe or Square at the switchover is paid out on their usual schedule, with nothing for you to claim.

Three things to check this week

  1. Onboarding. If your club has not completed onboarding, payments are paused until it does. Go to Admin > Settings > Payments, confirm your bank details and finish identity verification. It takes a few minutes and payments resume as soon as it is done.
  2. Saved cards. Cards were stored with the old provider, so they did not carry across. Members are prompted to re-add their card at their next payment, once. Apple Pay and Google Pay are unaffected.
  3. Renewals due this month. An auto-renewing membership or pass needs a card on file with the new provider. If a renewal falls due before the member has re-added their card, it will not go through and we email them to ask for one. A quick heads-up to members with renewals due in the next couple of weeks saves a support message later.

Everything else is unchanged. Your payments dashboard and reporting show every payment your club has taken, before and after the switch, in one place.
