File Manager Overview

Upload, organise, and share club documents inside ClubPal, with folders, drag-and-drop uploads, storage quotas, and permissions.

The File Manager allows you to upload, organize, and manage documents and files for your club directly within ClubPal. It supports folders, drag-and-drop uploads, quota management, and granular permissions, making it easy to keep your club's documents safe and accessible.

What is the File Manager?

The File Manager is accessible from the main navigation menu by clicking Files. It provides a modern, responsive interface for managing files and folders. You can upload files, create folders, navigate between directories, move items, and view file details, all from a single page.

The interface displays your storage quota and usage at the top, followed by a toolbar with action buttons, and the main file/folder listing area below.

Key Features

  • Folder Organization: Create folders and subfolders to organize your files hierarchically
  • Drag-and-Drop Uploads: Upload files or entire folders by dragging them onto the page
  • Chunked Uploads: Files larger than 2 MB are uploaded in 2 MB chunks for reliability, supporting files up to 1 GB
  • Quota Management: Visual indicators showing storage usage with a progress bar
  • Bulk Actions: Select multiple files/folders with checkboxes to move or delete in bulk
  • Search Functionality: Find a file by name across every folder in your club
  • Two View Modes: Switch between List View (table) and Grid View (folder cards)
  • Breadcrumb Navigation: Navigate through folder hierarchy with breadcrumb links
  • File Preview & Details: Click any file to view it in a dedicated page with metadata, previews for images/videos/PDFs, and download options
  • File Sharing: Share files and folders with specific members or groups without giving them full management access
  • Activity Log: Track file access history including uploads, downloads, and replacements with user and timestamp information
  • Permissions-Based Access: Everyone can reach the Files page, but only members with the Manage Files permission can upload, organise, or delete

Accessing the File Manager

You can access the File Manager from the main navigation menu:

  1. Click on Files in the top navigation bar
  2. You'll be taken to the root Files directory

Note: The Files menu item appears for every signed-in member while the File Manager is switched on for your club. What a member sees once they get there depends on their permissions and on what has been shared with them: without the Manage Files permission, the list shows only the files and folders shared with them, and it is empty if nothing has been.

The File Manager can be switched off for a club entirely, in which case the Files menu item disappears for everyone. Contact ClubPal support if you need it enabled or disabled.

Permissions

Access to the File Manager is controlled by the Manage Files permission. Users need this permission to:

  • View the Files menu item
  • Upload new files and folders
  • Create, rename, and delete folders
  • Move files and folders between directories
  • Download files
  • Delete files and folders
  • Share files with other members

Important: The Manage Files permission grants full access to all files and folders in your club's file system, regardless of who uploaded them. Only grant this permission to trusted administrators.

Interface Overview

The File Manager interface consists of several key areas:

Header Section

  • Storage Quota Display: Shows your total quota ("10 GB"), the number of files, and how much space is in use
  • Usage Bar: Green up to 80% used, amber above 80%, red above 90%

Toolbar

  • New Folder: Create a new folder in the current directory
  • Upload Files: Upload files from your computer
  • View Toggle: Switch between List View and Grid View
  • Search: Find a file by name across all of your folders

Main Content Area

  • Breadcrumb Navigation: Shows your current location in the folder hierarchy
  • File/Folder List: Displays files and folders with options to select, move, download, or delete

Context Actions

Each file has a menu (⋮) with:

  • Details: open the file view page
  • Download File
  • View URL: copy a link to the file's page in ClubPal
  • Share
  • Rename
  • Move
  • Delete

Folders have the same menu without Details, Download File, and View URL. Options only appear when your permissions allow them.
